A purchase order (PO) is a document a buyer sends a seller to order goods or services. It lists the items, quantities, agreed unit prices, delivery details, and payment terms, and carries a unique PO number. Once the seller accepts it, the PO becomes a binding contract.
A purchase order is issued by the buyer before the goods or services are supplied, to place the order. An invoice is issued by the seller on or after supply, to request payment. The invoice normally quotes the PO number so the buyer can match the two.
A quote is sent by the seller proposing a price. A purchase order is sent by the buyer to accept that price and commit to buy, usually referencing the quote. The quote is an offer; the PO is the order.
They describe the same transaction from opposite sides. The buyer issues a purchase order; the seller records a sales order to confirm it internally and schedule fulfilment.
Your business details as the buyer, the supplier's details, a unique PO number, the order date, an itemized list of goods or services with quantities and agreed unit prices, the subtotal, any tax, the total, the delivery address and date, and the payment terms.
Use a consistent, sequential scheme such as PO-0001, PO-0002 so every order is unique and easy to trace. Many businesses prefix the year, a department, or a supplier code, for example 2026-OPS-014.
On its own a PO is an offer to buy. It generally becomes a binding contract once the supplier accepts it — by confirming the order, or by starting to fulfil it. Spell out the quantities, prices, and terms clearly so both sides rely on the same document, and check your jurisdiction.
Before paying a supplier's invoice, many finance teams check it against the purchase order and the goods-received record. If the three agree on items, quantities, and prices, the invoice is approved for payment; if not, it is queried.

Yes. Enter your line items and a tax rate, and the subtotal, tax, and total update automatically as you edit — no spreadsheet math.
Yes. Set one or more tax rates and labels — VAT, GST, PST, or sales tax — per line item or across the whole purchase order, so it matches your local tax-authority requirements.
Yes. Add a shipping line, apply an agreed discount, and include delivery instructions, terms, or a reference to the supplier's quote in the notes.
Yes. Add your logo and business details once, and every purchase order you raise keeps that branding.
Yes. Generate a clean, print-ready PDF in one click, ready to email to your supplier.

Yes. Copy the quoted line items into a purchase order, add your PO number and delivery details, and send it back to confirm the order.
