What a manufacturing quote has to get right

Most quoting tools assume a catalogue product with a fixed price. A shop sells the same part at six different prices depending on how many you want, and that changes six things.

Setup, material, run time and finishing as separate lines

A part price is several costs wearing one number. Break it out: programming and setup as a one-off, material by weight or by bar, machine time at your hourly rate, then deburring, heat treatment or plating as their own lines. The customer sees why the price is the price, and you see which operation is eating the margin.

One price-break table for every run size

Configure tiered pricing per product and volume-discount rules once, and the right rate applies as the quantity changes. A 50-off order and a 5,000-off order quote from the same record — no separate price list per customer, and no rep working out the break by hand at eleven at night.

Formulas for the way parts are actually costed

Calculated columns hold what a flat per-unit rate can't: quantity × cycle time × shop rate, weight × price per kilo, sheets × nesting yield. Change the run quantity and every dependent figure — and the VAT — follows it.

Margin per operation, not one number on the footer

Price each line directly, from cost plus markup, or backwards from a target margin, and mix all three in one quotation. Bought-in castings can pass through at a handling percentage while your own machining holds a real margin — visible to you while you build it, invisible to the customer.

Worked example

Anatomy of a real CNC machinery quotation

This is an actual four-page ExtraflowDoc quotation for a 3-axis CNC mill. It is a capital equipment sale rather than a part quote, and it shows what a quotation looks like when the thing being sold has a lead time, a foundation and a training requirement attached to it.

Page 1 — a cover, because this is a considered purchase

A branded cover page carrying the supplier, the customer and the equipment title. A part quote rarely needs one; a machine that will be signed off by someone who never spoke to you does. It is the difference between a document that gets forwarded to the managing director and one that gets retyped into an email first.

Page 2 — the machine, the extras, and the price

Each machine and add-on as its own line item with model numbers, specifications and pricing, and a photograph of the equipment attached to the line it belongs to. Tooling packages, installation and operator training sit on their own lines rather than disappearing into the machine price — so a customer trimming the order can see what removing the training would actually save them, and what it would cost them.

Page 3 — the terms that decide the argument later

Lead time, site preparation requirements, installation, training and warranty coverage, written out before the signature. On capital equipment these are where disputes live: whether the foundation was the customer's responsibility, when the clock on the warranty starts, what was promised about commissioning. Having them in the signed document rather than in an email thread is the entire point.

Page 4 — the equipment gallery, then the signature

Photographs of the exact machine and of the team who install and support it, followed by a signature block built into the document. The customer approves without printing anything, and the signed PDF holds the specification, the price, the lead time and the warranty together.

What is manufacturing quoting software?

It's software that turns an inquiry into a priced, professional quotation: line items for setup, material, machine time and secondary operations, price breaks that follow the run size, and a document the customer can accept as it stands. ExtraflowDoc does that from the deal or board item the inquiry already sits in, so the quotation starts from real customer data rather than last quarter's spreadsheet.

Can ExtraflowDoc quote a part automatically from a CAD file or drawing?

No. ExtraflowDoc does not read STEP, IGES or DXF files, has no feature recognition, and does not calculate cycle time, tool paths or material removal from a model. It is not an automated part-costing engine. It takes over once you know the numbers — pricing them, applying margin, building the quotation, and collecting the signature. Shops generally keep their estimating spreadsheet or CAM-based costing tool for the calculation and use ExtraflowDoc for everything downstream of it.

How do I quote setup separately from the per-part price?

Put setup on its own line as a one-off charge and the parts on another priced per unit. Because the two lines are independent, the customer can see exactly what a short run costs them in setup — which is usually the most persuasive argument for the larger quantity you would rather make.

Can it handle price breaks for different order quantities?

Yes, and without a separate quotation per quantity. Tiered pricing defines the rate at each quantity band on the product itself, and volume-discount rules apply automatically once quantity crosses a threshold. Configure it once and every future quote for that part prices correctly.

Can I price material by weight, by sheet, or by bar?

Yes, with calculated columns. Add a formula column for weight × price per kilo, sheets × cost per sheet, or quantity × cycle time × shop rate, and the total recalculates when the input changes. Mixed units across one quotation are normal — material by the kilo, machining by the hour, plating by the run.

Does it integrate with my ERP or MRP system?

Not directly. ExtraflowDoc's native integrations are Pipedrive and monday.com, and it produces PDFs you can attach to whatever your ERP expects. If the quotation has to originate inside your ERP or write back to it automatically, ExtraflowDoc isn't the right fit today — better to know that now.

Does it schedule the shop floor or check capacity before I quote a lead time?

No. ExtraflowDoc has no scheduling, capacity planning or works-order tracking. It documents the lead time you commit to; it doesn't work out whether the machines are free. Quoting and scheduling stay separate jobs, done by separate tools.

Can I quote capital equipment — a machine with installation and training?

Yes, and it is a different document from a part quote. Put the machine, tooling, installation, commissioning and operator training on one quotation with a branded cover page, a photo gallery of the actual equipment, and lead time, site preparation and warranty written into the terms. There is a real four-page example of exactly that on this page.

Can I show the customer photos of the part or the machine in the quote?

Yes. Line items carry their own images, and full-page gallery blocks with descriptions sit alongside the pricing. For a machine sale that means the equipment and the team who install it; for a fabrication job it means the last one you made.

Does it handle export quotes — other currencies and tax treatments?

Yes. Pick the currency the customer pays in, apply tax per line item so mixed-rate quotations work, and combine multiple tax rules on one document. The document is also localized, so it reads correctly in your customer's market as well as yours.

Can the quotation become the purchase order and the invoice?

Yes, and that's the point of keeping them in one editor. A won quotation converts to an invoice in one click with every line carried over, and purchase orders to your material suppliers, works orders and delivery notes come from the same document set — so the quantities and prices agree across all of them.
