What a landscape quote has to get right

No two lines on a landscape quote are measured the same way, and the client is buying a picture of their garden rather than a list of materials. Six things decide whether the quote survives the comparison.

Five different units in one pricing table

Mulch by the bag, plants and shrubs by the specimen, edging by the linear metre, patio by the square metre, planting by the crew hour. Every line carries its own unit, quantity and rate, so you don't round a garden into a single lump sum or keep a separate spreadsheet per unit type.

Materials and labour as separate sections that each total

Group the quote into a Materials block and a Labour block, each with its own heading and running total. It reads the way you built the estimate, and it answers the one question every client asks — how much of this is plants and how much is people — without rebuilding the document.

Crew hours are the quote, so the hourly rate is the margin

On installed landscape work the labour lines usually dwarf the materials. Put your real crew rate on each task line rather than burying it in a mark-up on plants, because a point on the hourly figure moves the total far more than a point on a pallet of bark — and you can see which task is carrying the job.

The design page the client actually reads

A full-width photograph with a written description of the finished space and a short numbered list of what they're getting — the pergola, the fire pit, the evergreen planting, the lawn the children get back. Clients approve a picture of their garden; the pricing table only has to survive the comparison afterwards.

Line-level discounts, not a discount on the bottom line

Take twenty percent off the mulch because you buy it by the pallet, and leave the crew hours alone. The discount sits on the line it belongs to and shows in its own column, so the client can see exactly where you moved and you don't quietly give away the labour margin to close.

An expiry date, then a signature from the drive

Every quote carries an issue date and a valid-until date, which matters in a trade where stone, plant stock and crew availability all move with the season. It runs in a browser on a phone, so the quote can be presented and signed at the property and invoiced from the same lines once the job lands.

Worked example

Anatomy of a real landscaping quote

This is an actual three-page ExtraflowDoc quote for a back garden outdoor living space, totalling $32,372.40. It is short, which is the point: the whole job fits in three pages because the pricing table does the detail and the design page does the selling.

Page 1 — a cover with the garden on it, not a letterhead

The cover is a photograph of planted beds and a mown lawn with the document title over it. On a trade quote that would be decoration; here it is the argument. You are selling an outcome the client can only imagine, so the first page shows them work that already looks like what they want — and it is the page that gets forwarded to the partner who wasn't home when you walked the site.

Page 2 — the quotation, where five units share one table

The header carries the quote number, the issue date and a valid-until date two weeks out, then your details and the client's. Below that a single Quotation table splits into a Materials section and a Labour section. Materials run: organic mulch at 20 bags, seasonal flowers at 30 units, fertiliser at 5 bags, edging material at 50 ft, small shrubs at 15 units. Labour runs: lawn installation at 80 hours, planting and garden bed setup at 140 hours, patio installation at 60 sqf, irrigation setup at 20 hours. Bags, units, feet, square feet and hours, priced in one table without a single manual subtotal.

Page 2, read again — where the money actually is

Add the sections up separately and the quote tells you something about the trade. Materials come to $4,040. Labour comes to $26,500. Eighty-seven percent of a $30,540 subtotal is crew time — the inverse of an equipment sale, where the box dominates and the install is the smaller half. It is also why the mulch carries a visible 20% discount in its own column while every labour line is at full rate: the discount is placed where it costs least, and the client can see precisely where it was placed.

Page 3 — 'Outdoor Living Space', the page that closes it

A written description of the transformation — a bespoke pergola for shade, a fire pit on a natural stone patio, hard landscaping integrated with planting — then four numbered key elements, then a full-width photograph of the finished result. Not one figure appears on this page. That is deliberate: the client reads the vision, decides they want it, and only then goes back to check whether the number on page two is defensible. A quote that leads with the table asks them to do that in the opposite order.

What is landscaping quoting software?

It's software that turns a walked site into a quote the client can accept: materials and crew time as separately priced lines in whatever unit each is actually sold in, a description of the finished space with photographs, an expiry date and a signature. ExtraflowDoc does that from the deal the enquiry already created, so the quote starts from the client and property data you captured rather than a blank template.

Does ExtraflowDoc measure the property from aerial or satellite imagery?

No. There is no measuring tool of any kind — no take-off from aerial photography, site plans or drone imagery, and no lawn-area lookup from a postcode. You bring the quantities from your own measuring wheel, wheel app or site plan, and ExtraflowDoc prices, presents and signs the quote built from them. If measuring from imagery is the part you want automated, this is not that product.

Does it do landscape design, 3D renders or planting plans?

No. ExtraflowDoc is not design software: there is no CAD canvas, no 3D visualiser and no plant library to lay out a bed from. What it does is carry the design you produced elsewhere — the render, the mood board, the before-and-after photographs — into the same document as the price, in full-width image blocks with descriptions, so the client sees the vision and the number together instead of in two separate emails.

Can I quote materials and labour separately, with their own totals?

Yes, and it's the normal way to build a landscape quote here. Group the line items into a Materials section and a Labour section, each with its own heading and running total, then a combined subtotal, VAT and total underneath. Every line keeps its own unit, quantity, rate and margin, so plants can sit at cost plus mark-up while crew tasks run at your hourly rate.

Can one quote mix bags, plants, linear metres, square metres and hours?

Yes — that's the ordinary case, not an edge case. Each line item carries its own unit and quantity, so mulch at 20 bags, edging at 50 ft, patio at 60 sqf, shrubs at 15 units and planting at 140 hours all sit in the same table and roll into the same total. You're not forced into a common unit or into keeping a separate document per material type.

Can I price by area without retyping the maths?

Yes, with calculated columns. Add a formula column for square metres × rate for turf, paving or mulch at depth, or linear metres × rate for edging, fencing and bed borders, and the totals recalculate when the measurement changes. Requote a 110 m² lawn as 150 m² by changing one number rather than rebuilding the quote.

Can I show good, better and best versions of a garden?

Yes. Lay two or three pricing tables side by side in the same document — planting only, planting plus patio, and the full scheme with irrigation, for instance — each with its own line items and total. Clients who won't spend the top figure often will spend the middle one, and a tiered quote keeps that conversation with you instead of sending them to a second landscaper.

Can I put photographs of the site and the finished design in the quote?

Yes, and on this trade it's the part that closes. Line items carry their own images, and full-width gallery blocks with written descriptions sit alongside the pricing — the tired lawn as you found it, the render or reference photographs of what it becomes, the planting list as pictures rather than Latin names.

Does it schedule crews or plan routes between properties?

No. ExtraflowDoc has no scheduling board, crew calendar or route optimisation, and it does not track vehicles between jobs. It produces and tracks the documents; a grounds-maintenance round with forty properties a week needs a scheduling tool, and ExtraflowDoc sits alongside one rather than replacing it.

Can I use it for recurring maintenance contracts?

Only for the paperwork. You can write, price and sign a seasonal grounds-care agreement — agreements are a document type in the same editor — and the mow, feed and tidy visits can be priced as lines within it. What ExtraflowDoc will not do is raise that invoice every month on its own, track the contract's renewal date, or handle a mid-season change to the visit frequency. There is no recurring billing engine here; the agreement is a document, not a subscription.

Can the quote become the purchase order and the invoice?

Yes. A won quote converts to an invoice in one click with every line carried over, and the purchase order for plants, stone or aggregate goes to your nursery or builders' merchant from the same line items. The quantities on the order match the quantities the client approved, because they are the same quantities.
