No. You can write the proposal and download it without signing up. Creating a free account only matters when you want to save proposals, reuse them for the next client, or connect Pipedrive or monday.com.
A business proposal is a document a seller sends a prospective client that lays out the client's need, the proposed solution and scope, the timeline and team, the price, and the terms — so the client has everything needed to say yes.
A quote is the priced line-item breakdown on its own. A proposal wraps that price in context: the approach, the deliverables, the schedule, and why you. Send a proposal when the client is still deciding how — and whether — to proceed, not only how much it costs.
An estimate is an approximate cost for work that's already defined. A proposal defines the work itself — objectives, scope, and method — and then prices it. An estimate answers 'how much?'; a proposal answers 'what, how, when, and how much?'.
A proposal is an offer to do the work on stated terms. Once the client signs it, it can become the contract itself or feed a separate statement of work. Keep the scope, exclusions, and payment terms precise so the accepted proposal stands on its own.
A short summary of the client's need, the proposed solution and scope, what is included and excluded, deliverables and milestones, a timeline, the team or roles, the price with a payment schedule, your terms and assumptions, and a clear next step to accept.
A solicited proposal answers a specific request — an RFP or a conversation. An unsolicited proposal is one you send proactively to open an opportunity, so it has to do more work to establish the problem and why you are the right fit.
Long enough to answer the client's real questions and no longer. For most service work that is two to six pages — summary, scope, timeline, price, terms. Add detail only where the decision needs it.
Yes. Present good / better / best options or optional add-ons as separate line items so the client can choose exactly what to accept.
Yes. Pick the currency your client buys in and set the symbol and number format so the pricing reads correctly in their market.
Yes. Enter your line items and a tax rate, and the subtotal, tax, and grand total update automatically as you edit — no spreadsheet math.
Yes. Set one or more tax rates and labels — VAT, GST, PST, or sales tax — per line item or across the whole proposal, so it matches your local tax-authority requirements.
Yes. Add your logo and business details once, and every proposal you generate or reuse keeps that branding.
Yes. Generate a clean, print-ready PDF in one click, ready to email to your client or attach to a message.
Put a valid-until date on the pricing so it isn't open-ended — 14 or 30 days is common. It also gives the client a concrete reason to decide.
On its own a proposal is an offer. Once the client accepts it in writing within the validity period, it can form a binding contract on the terms stated — so be explicit about scope, exclusions, and payment. Check your jurisdiction's rules on offer and acceptance.
Download the PDF for sign-off by email, or run ExtraflowDoc inside Pipedrive or monday.com to send the proposal from the deal and track when it is opened and accepted.
Yes. In ExtraflowDoc for Pipedrive and monday.com, convert a won proposal into an invoice in one click, with every line item carried over.
