A quote is a document a seller gives a prospective buyer that sets out the goods or services on offer, their quantities and unit prices, any tax, and the total — along with how long the price stays valid. It is a priced offer, not a demand for payment.
A quote is a firm price the seller commits to for a stated validity period. An estimate is a considered approximation that can move as the scope becomes clear. Send a quote when you can price the work precisely; send an estimate when some variables are still open.
A quote proposes a price before work starts and asks the client to accept it. An invoice is issued on or after delivery and asks for payment by a due date. Many teams send a quote first, then invoice the same line items once the work is done.
A proposal sells the approach — scope, method, timeline, and team — with pricing as one section. A quote is the itemized price breakdown on its own. It is common to send a proposal with a quote attached.
Your business name and contact details, the client's details, a unique quote number, the issue date and a valid-until date, an itemized list of goods or services with quantities and rates, the subtotal, any tax, the total, and any terms or assumptions the price depends on.
Set a validity period so the price isn't open-ended — 14 or 30 days is common. Put the expiry date on the quote itself so the client knows when they need to come back for a refreshed price.
Yes. Pick the currency your client buys in and set the symbol and number format so the quote reads correctly in their market.
Yes. Enter your line items and a tax rate, and the subtotal, tax, and grand total update automatically as you edit — no spreadsheet math.
Yes. Set one or more tax rates and labels — VAT, GST, PST, or sales tax — per line item or across the whole quote, so it matches your local tax-authority requirements.
Yes. Apply a discount, mark line items as optional so the client can choose, and add free-text notes, terms, or assumptions at the bottom of the quote.
Yes. Add your logo and business details once, and every quote you generate or reuse keeps that branding.
Yes. Generate a clean, print-ready PDF in one click, ready to email to your client or attach to a message.
Use a consistent, sequential scheme such as QUO-0001, QUO-0002 so every quote is unique and easy to trace. Many businesses prefix the year or a client code, for example 2026-014.
Generally a quote is an offer: once the client accepts it in writing within the validity period, it can form a binding contract at that price. Be explicit about what is included and what would change the price, and check your jurisdiction's rules on offer and acceptance.
Download the PDF for sign-off by email, or run ExtraflowDoc inside Pipedrive or monday.com to send the quote from the deal and track when it is viewed and accepted.
