For print shops, sign makers and promotional printers

Print quoting software for commercial printers and sign shops

ExtraflowDoc lets a print shop quote a job the customer can sign off: every item with its size, stock, color and finishing, price breaks that show what a bigger run saves, proof and file deadlines, and print terms in one document.

What a print quote has to get right

A print quote is a specification as much as a price. When the job comes back wrong, the quote is what both sides read to decide who pays for the reprint.

Specifications the customer signs off

Size, paper stock, color (4/4 or 4/0), finishing and quantity for every item, in a table above the price or as fields under each line. The customer checks it before you print, and the signed quote settles any argument afterwards.

Price breaks that sell the bigger run

Set price tiers per product so the unit price falls as the quantity rises, and show the breaks in a table. A customer who sees 10,000 coasters cost little more than 5,000 often orders the larger run.

Prepress, proofs and delivery on their own

File checks, hard-copy proofs, rush charges and delivery go in their own section, so the customer sees the product price and the extras apart and can decide which extras they need.

Every product in one quote

Brochures, business cards, banners and window clings for one launch, in sections with their own subtotals. One quote, one approval and one invoice, instead of four quotes for the same customer.

Volume discounts that apply themselves

Set volume discount rules once, and they apply when a quantity crosses the threshold. The discount shows on the line it belongs to, not as an unexplained figure at the bottom.

Approved, then invoiced from the same lines

The customer signs to approve the specifications and the price. The accepted quote becomes the invoice in one click, and a delivery note for the boxes comes from the same deal.

Worked example

Anatomy of a real print quote

This is a real six-page ExtraflowDoc quote from a commercial print shop in New Hampshire to a craft brewery opening a taproom: brochures, business cards for twelve staff, 10,000 coasters, banner stands, posters and window clings, for $3,865.50. Print jobs go wrong in the specifications, so this quote spends more space on them than on the price.

Page 2 — a specification table the customer signs off

Every item gets its size, paper stock, color, finishing and quantity in one table, with the instruction to check every line because the shop prints exactly what is written. A gallery shows what each product will look like.

Page 3 — an artwork checklist and the file deadline

A checklist covers bleed, color mode, resolution and spot UV files, so the job does not stall in prepress. A timeline runs from files to delivery, and the delivery date depends on the files arriving on time, which the quote says plainly.

Pages 4 and 5 — priced by product, then the price breaks

Brochures come to $997.50 after a 5% quantity discount shown on the line, cards and coasters to $1,356.00, large format to $1,287.00, and prepress, a hard-copy proof and delivery to $225.00. A price break table shows the brochures at 2,500, 5,000 and 10,000, and how much each piece saves as the run grows.

Page 6 — print terms, questions and approval

Terms cover proofs, color matching, overs and unders, payment and late changes. A few common questions and an approval block close the quote.

Integrations

Quote from the order you already logged

ExtraflowDoc installs into Pipedrive and monday.com, so the quote is built on the deal or item the request created, with the customer, the artwork notes and the due date already there.

Print quotes in Pipedrive

Open ExtraflowDoc from the deal. The customer and custom fields such as event date or delivery address fill the quote, and products from your Pipedrive catalog come in with their price tiers.

Print quotes in monday.com

If jobs run on a monday.com board, build the quote from the item. Columns such as quantity, stock and due date fill the document, and the approved quote is stored back on the job.

FAQ

Print quoting software: frequently asked questions

Including what ExtraflowDoc does not do.

What is print quoting software?

It is software that turns a print request into a quote the customer can approve: each item's specifications, quantities and price breaks, prepress and delivery, and print terms. ExtraflowDoc does this inside Pipedrive or monday.com, from the deal or item the request created.

Does it calculate press time, imposition or paper usage?

No. ExtraflowDoc is not a print MIS: it does not calculate imposition, sheets, press time or ink. Work out the cost in your estimating system or spreadsheet, and ExtraflowDoc presents the price, the breaks and the specifications.

Can I show price breaks at several quantities?

Yes. Set price tiers per product so the unit price changes with the quantity, add a table of the breaks, or give each quantity its own quotation table with its own total.

Does it have a web-to-print storefront?

No. There is no customer storefront or online ordering. Customers receive a quote by link or PDF and accept it by e-signature.

Can I put many products in one quote?

Yes. Group them into sections such as brochures, cards and large format, each with its own subtotal, and the document totals them together with prepress and delivery.

Can I see my margin on a job?

Yes. Price each product from its cost plus a markup or a target margin. The document details show cost, profit and margin to your team, and internal columns keep paper and press costs off the customer's PDF.

Can the quote become the invoice?

Yes. Convert the approved quote into an invoice in one click with every line carried over. Adjust quantities for overs and unders before you send it.

Is there a free plan for a small print shop?

Yes. The free plan covers 5 documents a month with unlimited users. Paid plans start at USD $14.99/month for 20 documents, with every feature on every plan, so prepress and the counter staff add nothing to the bill.
