For machine shops and CNC job shops

CNC quoting software for machine shops that answer RFQs

ExtraflowDoc turns an RFQ into a quote a buyer can check against the drawing: price per part with material, cycle time and finish on the line, programming and fixtures as one-time charges, and price breaks at the quantities they might order next.

What a machine shop quote has to get right

Buyers send the same RFQ to three or four shops and compare the answers line by line. The quote that wins is rarely the cheapest one; it is the one that is easiest to check.

The drawing revision on every part

Quote against AFC-2207 rev C, not just "valve body". Part number, revision, material, cycle time and finish sit as fields under each line, so the buyer can see you read the drawing and a revision change is obviously a new quote.

Setup and tooling apart from the part price

Programming, first setups, fixtures and the first article report go in their own section with their own subtotal. The buyer sees what the part costs on a repeat order, and you are not forced to bury setup in a unit price that looks expensive at low volume.

Price breaks the buyer can choose from

Set price tiers per part so the unit price follows the quantity, and show a break table at 100, 250, 500 and 1,000 pieces. A buyer who planned 250 often orders 500 when they can see what it saves.

Your margin on screen, never on the PDF

Price a line from cost plus markup or cost plus margin, and mark the cost columns internal. Estimating sees the hourly rate and material cost behind each part; the buyer sees only the price.

Assumptions and exclusions in writing

Tolerances not on the drawing, overrun allowance, how long material prices hold, source inspection: put them in a scope and terms section that comes with every quote, saved once and reused, so they are not retyped or forgotten.

Accepted by PO or by signature

Buyers usually answer with a purchase order, so the quote carries its number for the PO to reference. Smaller customers can sign it instead, and the accepted quote turns into the invoice in one click with every part line carried over.

Worked example

Anatomy of a real machine shop quote

This is a real three-page ExtraflowDoc quote from a CNC job shop in Milwaukee to an industrial buyer, answering an RFQ for three machined parts, for $23,034.00. It is laid out the way a buyer checks a machining quote: against the drawings first, then part by part, then on what happens at the next quantity.

Page 1 — the RFQ, the drawing revisions and the price per part

One row ties the quote to the buyer's RFQ number, the three drawing revisions, the lead time and the terms. Then each part gets its own line with material, cycle time and finish as fields under the name: the valve body at $38.40 each in 6061 aluminum with a 14.5-minute cycle, the bracket in 304 stainless, the shaft in 17-4 PH. Parts come to $20,069.00.

Page 2 — one-time charges kept apart, then price breaks

Programming, a fixture and the first article report are a separate section worth $2,780.00, each marked as not charged again on a repeat order, so the buyer never mistakes setup for the part price. Freight is its own line. A price break table then shows every part at 100, 250, 500 and 1,000 pieces.

Page 3 — how each part is made, and what the price assumes

A process table lists the operations, the machine and the inspection for each part. Assumptions and exclusions follow (mill certificates included, drawing changes after the PO not), then terms on how long material prices hold, a 5% overrun allowance and production waiting for first article approval, and an acceptance block that also takes a PO number.

Integrations

Quote from the RFQ you already logged

ExtraflowDoc installs into Pipedrive and monday.com, so the quote is built on the deal or item the RFQ created, next to the drawings and the buyer's emails.

CNC quoting in Pipedrive

Open ExtraflowDoc from the RFQ's deal. The buyer, company and any custom field you keep, such as RFQ number, due date or material, fill the quote, and parts from your Pipedrive product catalog come in with their prices and tiers.

CNC quoting in monday.com

If RFQs run on a monday.com board, build the quote from the item. Columns such as part number, revision and quantity populate the document, and the sent quote is stored back on the item.

Pricing

Per company, not per estimator

Estimating, sales and the owner all quote from the same plan at no extra cost. ExtraflowDoc charges by document volume per company, so a busy RFQ month costs the same however many people answer them.

FAQ

CNC and machine shop quoting software: frequently asked questions

Including what ExtraflowDoc does not do, so you know before you start.

What is CNC quoting software?

It is software that turns the cost of making a part into a quote a buyer can accept: a price per part, the one-time charges, price breaks, lead time and terms, in a document that references the drawing. ExtraflowDoc does this inside Pipedrive or monday.com, from the deal or item the RFQ created.

Can it price a part from a CAD or STEP file?

No. ExtraflowDoc does not read CAD, STEP or DXF files and does not estimate cycle time or material from a model. You work out the cost the way you do now, in your CAM system or spreadsheet, and ExtraflowDoc turns it into the quote, the price breaks and the signed document.

Can I show price breaks at several quantities?

Yes, in two ways. Set price tiers on a product so the unit price changes with the quantity, and add a table that lists each part at 100, 250, 500 and 1,000 pieces, as the example on this page does. If you want each quantity as a full priced option, add several quotation tables, each with its own total.

How do I keep setup and programming separate from the part price?

Put them in their own subcategory, such as one-time charges, with its own subtotal. Each line can say it is not charged again on a repeat order. The buyer sees the part price and the setup cost apart, which is how most buyers compare shops.

Can I see my margin without the buyer seeing my costs?

Yes. Price a line as cost plus markup or cost plus margin, and mark the cost column internal: it stays in the editor and never appears in the PDF. The document details show total, cost, profit and margin for your team only.

Is it an ERP or MRP system?

No. ExtraflowDoc does not plan material, schedule machines, track jobs on the shop floor or manage inventory. It produces and tracks the documents: the quote, the purchase order to your material supplier, the delivery note and the invoice.

Can the buyer accept with a purchase order?

Yes. Most do. The quote carries its own number for the PO to reference, and you can still send it for e-signature when a customer prefers to sign. Each document shows whether it was sent, viewed, signed or declined.

Does it work in other currencies and languages?

Yes. Quote in the buyer's currency, apply the taxes that apply to them or none at all for an exempt customer, and write the document in any of the languages ExtraflowDoc supports.

Is there a free plan for a small job shop?

Yes. The free plan covers 5 documents a month per company with unlimited users. Paid plans start at USD $14.99/month for 20 documents, with every feature on every plan.

Ready for the next RFQ?

Send the quote the buyer can check against the drawing.
