Vehicle, claim and damage first
VIN, mileage, claim number and deductible in a table, then the damage panel by panel. The adjuster finds what they need, and the owner understands what was hit.
For collision and auto repair shops
ExtraflowDoc lets a shop write an estimate both the owner and the adjuster can follow: the vehicle and claim, damage panel by panel, parts and labor hours itemized, calibrations and sublets on their own lines, who pays what, and an authorization to start.
Free plan available. No credit card required. Or build a quote in your browser with nothing to install.

The ExtraflowDoc document editor
Built for repair estimates
A repair estimate has two readers: the owner, who wants the car back and no surprises, and the adjuster, who checks every hour. Writing for both is the job.
VIN, mileage, claim number and deductible in a table, then the damage panel by panel. The adjuster finds what they need, and the owner understands what was hit.
OEM or aftermarket parts in one section, body and refinish labor in hours at your rate in another. The estimate matches how you will invoice.
ADAS calibration, alignment and other sublet work get their own lines. Owners stop being surprised by the cost of a radar after a bumper job.
Split the total into the deductible and what the insurer pays, so the owner knows what they owe at pick-up before the work starts.
Parts arrival, repair, paint, calibration and pick-up as dated milestones. Fewer calls asking when the car will be ready.
The owner signs the authorization with terms on supplements, parts and storage. The final invoice comes from the same lines when the car leaves.
Worked example
This is a real six-page ExtraflowDoc estimate from a collision repair shop in Wilmington, Delaware, after a front-corner accident on a 2022 compact SUV, for $4,632.00 on an insurance claim. A collision estimate is read by two people, the car owner and the adjuster, and this one is written for both.
A summary and a vehicle and claim table identify the car and the claim. Cards list the OEM parts on order. A damage diagram and a panel-by-panel table say what was found on each panel and how it is repaired.
OEM parts come to $2,668.00, each on its own line. Labor and services, $1,964.00, show body and refinish hours at the hourly rate, paint and materials, structural measurement, the front radar and camera calibration many owners do not expect, a sublet alignment and the disposal fee.
A short table splits the total into the owner's $500 deductible and what the insurer pays the shop directly. A repair timeline, a lifetime warranty, terms on supplements, parts and storage, and a repair authorization the owner signs complete it.

Integrations
ExtraflowDoc installs into Pipedrive and monday.com, so the estimate is built on the deal or item for the vehicle, with the owner, the claim and the photos already there.

Open ExtraflowDoc from the deal. The owner and custom fields such as VIN, vehicle, claim number or insurer fill the estimate, and the signed authorization stays on the deal.

If repairs run on a monday.com board, build the estimate from the item. Its columns fill the document, and the signed estimate is stored back on the repair.

FAQ
Including what ExtraflowDoc does not do.
It is software that turns an inspection into an estimate the owner can authorize: the vehicle and damage, parts and labor, sublets, who pays what and terms. ExtraflowDoc does this inside Pipedrive or monday.com, from the deal or item for the vehicle.
No. ExtraflowDoc has no parts database, labor-time guide or VIN decoder, and it is not a collision estimating system like those insurers use. Bring your parts and hours, and ExtraflowDoc presents and gets them signed.
No. There is no connection to insurer platforms. You can send the estimate PDF or link to the adjuster yourself, and put the claim number and deductible in the document.
No. It does not schedule bays, track technician time or manage parts inventory. It writes and tracks the estimate, the authorization, the purchase orders for parts and the invoice.
Yes. Put body, refinish and mechanical labor on separate lines, each with its hours and rate, and paint materials by the refinish hour if that is how you charge.
Yes. Each line can carry several photos, and full-width image sections show the damage with a description.
Yes. Enter parts cost and add your markup or margin per line; labor carries your rate. The document details show cost, profit and margin to your team, and cost columns marked internal stay off the owner's copy.
Yes. The free plan covers 5 documents a month with unlimited users. Paid plans start at USD $14.99/month for 20 documents, priced per shop rather than per advisor.
